1. Who this policy covers
This Privacy Policy explains how 365 Days Services Inc. handles personal information in the 365DaysServices field-service management platform, including our web, Android and iPhone apps and public service-request, quote and invoice pages.
The platform is used by separate subscribing businesses to manage their customers and staff. When a business enters information about you, schedules your work, sends you a message or collects a payment, that business is responsible for its own purposes, permissions and instructions. We provide the platform and process business records to deliver and support the service. We also handle account administration, subscription billing, security and privacy requests for the platform.
If you are a customer or employee of a subscribing business, contact that business about its service records or employment practices. You can also contact us for help identifying the appropriate business or addressing platform privacy concerns.
2. Information handled by the platform
- Account and company information: names, email addresses, phone numbers, business names and addresses, account identifiers, company roles, business profile details, tax identifiers where supplied, subscription status and account preferences.
- Customer and work records: customer contact details, property and service addresses, service requests, quotes, approvals, jobs, schedules, invoices, notes, staff assignments and related business communications.
- Photos, files and signatures: images and attachments you choose to upload, job-site photos, quote signatures, signer names, acceptance records and associated timestamps.
- Work time and location: job start/submission times, work-duration records and device location when a location-dependent feature or live work-location sharing is used. See section 4.
- Payment and subscription records: amounts, payment method categories, transaction references, receipts, payment status, connected-account identifiers and subscription purchase or verification information. Payment providers handle sensitive payment credentials and their own verification checks. See section 5.
- Messages and notifications: email and SMS contact details, message content and delivery records, replies handled through supported texting features, notification content, read/dismissal records and device/browser push-notification tokens.
- Technical and security information: IP addresses, browser or device information, app version, sign-in and security events, request timestamps and error or diagnostic information used to operate and protect the service.
You may provide information directly, a subscribing business may enter it, or connected service providers may return information needed to deliver a feature. Avoid entering sensitive personal information in notes or attachments unless it is necessary for the service and you are authorized to provide it.
3. How information is used
Information is used to:
- Create and secure accounts, verify email addresses, manage company memberships and provide the features selected by the business.
- Process service requests, prepare and approve quotes, schedule work, document completed services, produce invoices and reconcile payments.
- Provide company-authorized work-time records and enabled location-sharing features.
- Deliver transactional emails, text messages and push notifications, such as quote updates, job assignments, review decisions and payment reminders.
- Manage subscriptions, connected payment accounts, billing history and support requests.
- Maintain service reliability, investigate errors, prevent misuse and fraud, enforce access controls and meet legal obligations.
The information needed depends on the feature and your role. A business using the platform must have an appropriate basis to provide customer or staff information and must explain any additional purposes for which it uses those records.
4. Location sharing, timekeeping and device permissions
Live work-location sharing: When you enable this feature, your company’s authorized office users can see location updates and the time of the latest update. Sharing can continue while travelling, after leaving the job screen, in the background or with the screen locked when device permissions and operating-system rules allow. Location sharing and recorded job-work hours are separate features.
You can stop live sharing using the app’s location-sharing control or by signing out, and you can change location permissions in your device settings. Disabling future collection does not automatically erase information already saved. Operating-system settings, battery restrictions and connectivity can interrupt sharing. Your employer or contracting business should explain its work-location policies and who can access the information.
Location may also be used for address/map features and for the security and availability of in-person payment services. Using an address search can send the search text and related requests to a map provider.
The app requests device permissions when needed for features, including camera or selected-photo access for attachments, location for enabled work/payment features, Bluetooth or NFC for compatible payment functions, and notifications for alerts. Granting one permission does not require you to use every related feature. You can manage permissions in your phone or browser settings; some functions will not work without the relevant permission.
5. Payments, banking details and identity verification
Stripe provides connected-account onboarding, online card payments and supported in-person Tap to Pay services. Bank information, card details and identity checks requested through Stripe are handled through Stripe’s interfaces and services. Stripe may request identification documents, business-registration documents or a selfie, depending on its requirements. Do not email those documents or full banking/card details to us as part of an ordinary support request.
The platform receives information needed to operate the payment feature, such as connected-account identifiers, capability and verification status, requested action categories, transaction references, amounts and payment results. A company can also record non-card payments, such as cash, cheque or e-transfer, together with the related business record.
Subscriptions purchased through Apple or Google are processed through the applicable store. We use purchase or transaction identifiers and verification results to associate subscription access with the appropriate company. Provider-held payment, identity and compliance information is subject to that provider’s privacy practices and retention obligations. See Stripe’s Privacy Policy.
7. Messages and notification choices
Businesses use the platform to send service-related emails and SMS messages. Texting features, sender numbers and whether replies are supported can depend on the business’s subscription and setup. Contact the sending business about its communications or follow the unsubscribe instructions in a message. Where SMS opt-out is supported, follow the stated STOP instructions. Carrier and provider charges or delivery restrictions may apply.
Push notifications require a device/browser registration token and the appropriate permission. Notification previews can display information on a lock screen or shared device, depending on your settings. You can disable notifications or hide previews in device/browser settings. Essential account or transaction communications may still be delivered by other appropriate channels.
8. Hosting and processing outside Canada
The service uses cloud infrastructure and other providers that can process or store information in Canada and the United States, and provider services or support operations may involve other countries. Processing locations can vary by product and configuration; information is not guaranteed to remain exclusively in Canada.
Information processed in another country may be subject to that country’s laws and lawful access by its courts or authorities. Contact our privacy contact below to request details about the providers, countries and safeguards relevant to your records, or our policies and practices for processing information outside Canada.
9. Browser storage, sign-in and security checks
The web app and its providers use browser storage, cookies or similar mechanisms where needed to keep sessions, remember settings and support security and delivery features. The app may retain unfinished company-signup form information on the same device so setup can resume after email verification; this signup draft does not include the password. Draft availability depends on the installed version and local storage.
Google Maps/address services and anti-abuse checks such as reCAPTCHA can process requests and technical information under Google’s applicable terms and Privacy Policy. Hosting and delivery infrastructure may also create technical logs.
You can manage cookies and site storage through your browser. Clearing storage can sign you out, remove saved preferences or drafts and require device features to be configured again. Notification service workers may be used for web push delivery.
10. Retention and security
Information is retained while reasonably needed to provide the service, maintain a subscribing business’s records, administer accounts, investigate security incidents, resolve disputes and meet legal or accounting obligations. Retention depends on the record type and the business’s instructions. Accounting and tax records can need to remain after an individual account is closed.
Deleting an item or account does not necessarily remove all related business records, provider-held records, backup copies or security logs immediately. Contact us for more specific information about the records involved in a request.
We use access controls and other reasonable organizational and technical safeguards to protect personal information. No system or method of transmission is completely secure. Protect your login credentials and public document links, use trusted devices, and notify us if you suspect unauthorized access. We assess security incidents and provide notices where required by applicable law.
11. Access, correction, consent and complaints
You can contact us to request access to personal information, ask for corrections, discuss withdrawing consent where applicable, or raise a privacy concern. We may need to verify your identity and authority before responding. Where a subscribing business controls the relevant records, we may direct the request to that business or work with it to address the request.
Requests are assessed under applicable privacy law, including Alberta’s Personal Information Protection Act and Canadian federal privacy law where applicable. Some information may be withheld or retained where permitted or required by law. Withdrawing permission or consent can affect features that depend on it.
For concerns about a subscribing business’s employment, location-monitoring or customer-record practices, contact that business first. For concerns about the platform, contact our privacy contact. You may also contact the Office of the Information and Privacy Commissioner of Alberta or another applicable privacy regulator.
12. Account and data deletion
To request account deletion, email info@365daysservices.ca with the subject 365DaysServices Account Deletion Request. Include your account email, company name if relevant, and whether the request concerns your user account or an entire company workspace. Do not include your password or identity documents in the initial request.
We verify the request and explain the action that can be taken. Deleting a technician’s login does not automatically delete the company’s customers, jobs, invoices or other users. Closing a workspace does not itself guarantee cancellation or immediate deletion of subscriptions, payment-provider records or telecommunications records. Those services and any lawful retention need to be addressed as part of the closure process.
See our Account & Data Deletion page for the request process.
13. Children, third-party services and policy changes
365DaysServices is a business-management service and is not directed at children. Businesses should not enter children’s information unless necessary for a legitimate service and appropriately authorized.
External websites, stores, payment services and other linked providers have their own privacy practices. This policy covers the platform; it does not replace those providers’ notices or a subscribing business’s own privacy policy.
We may update this policy as the service or applicable requirements change. The date at the top identifies the current version. Material changes will be communicated as appropriate, and any additional consent required for a new use will be requested.
